Step 1 - The Welcome Call

Every trip begins with a conversation. Before we talk destinations or dates, we want to understand who you are as a traveler — how you like to move through a place, what makes a trip easeful, memorable, or even transformative, and what your vision is this time.
This call is complimentary and comes with zero obligation. It's as much for you as it is for us. You'll meet the designer who would be working on your trip, get a feel for how we operate, and walk away with a clear sense of what a CTC-designed experience actually looks like. We may also share a sample itinerary so you can see our approach firsthand.
We're selective about the trips we take on. Not every inquiry is the right fit, and we'd rather tell you that upfront than overpromise. If we're aligned, we'll walk you through next steps. If not, we'll do our best to point you in the right direction.

Step 2 - Your Custom Design

Once your Welcome Call confirms we're the right fit, your personal travel designer gets to work. This is where the real craft begins.
A $400 planning fee is required to initiate your proposal. For groups of five or more, the fee is $100 per person. The full amount is credited toward your final payment if you book.


From there, we apply firsthand knowledge of the places you're dreaming of to design a trip that meets your vision — and factors in things you may not have considered, like seasonality, local holidays, and special experiences. We revisit everything we learned about you during your Welcome Call - your pace, your interests, your budget - and begin building a personalized itinerary. We pore over potential connections with local partners, consider where to place the right guides, identify properties we know and trust, and sequence your days in a way that feels effortless rather than itinerary driven.


We filter out the "shoulds" of travel and replace them with intention.


Your first proposal is typically delivered within 5 business days. From there, your fee includes up to two additional rounds of revisions — for a total of three versions of your trip — landing on a stunning outline of your vision.

Step 3 - You're Booked

Once your proposal feels exactly right, it's time to make it official. We collect a deposit to begin securing your bookings — accommodations, guides, experiences, and any reservations that require advance coordination. There's nothing for you to worry about. 


You won't be managing a single email chain or chasing a confirmation. Every detail is handled by your designer. In the months leading up to your trip, you'll receive all our best intel — location-specific guides, how-to's, restaurant lists, and even fun extras like movie and book lists inspired by your destination.


Just before you travel, we'll set up a WhatsApp group chat connecting you directly with the local team supporting your trip. You'll also receive access to your itinerary in a travel-friendly app — beautifully organized and built for the road.


By the time you leave, the only thing left to do is show up ready for the trip of a lifetime.

The moments and days you've been dreaming of are waiting for you! Your job now is simple; be present and let the experience unfold.
Every property, guide, and experience on your itinerary has been personally vetted by our team. The people you'll meet on the ground aren't vendors we found online - they're partners we've built real relationships with, who know you're coming and are genuinely invested in your experience.

Frequently Asked Questions

What is meant by "package pricing"?

Every trip we design is priced as a whole — one price that covers all the elements of your trip from the time you land. This includes accommodations, guides, experiences, private transfers, train tickets, entry fees where applicable, and all coordination fees.
We don't present line-item breakdowns because we've found it leads to false comparisons and detracts from the experience as a whole. Prices can also shift in real time based on availability, and our package reflects what is current at the time of booking.
Within your package, we often include options to add, omit, or upgrade experiences — giving you levers to bring the overall price up or down. Before you commit, there are opportunities for revisions, and you'll have a clear outline of everything that's covered. No surprise invoices mid-trip.

Do you book flights?

We specialize in land-only travel — meaning we design and manage everything from the moment you arrive to the moment you depart. For flights, we partner with a trusted expert in flight booking, including mileage award travel. They also offer support in managing flights while you're traveling, so you're never left navigating delays or cancellations on your own. We're happy to connect you directly.

What does travel insurance cover and do I need it?

We strongly recommend travel insurance for every trip, and consider it an essential part of responsible travel planning. Coverage can include trip cancellation, medical emergencies, evacuation, lost luggage, and more. For full details on what we recommend and why, visit our Travel Insurance post

How long does the planning process take?

From the time your planning fee is received, your first proposal is typically delivered within 5 business days. The full process — from Welcome Call to confirmed booking — generally takes two to four weeks, depending on the complexity of your trip and how quickly decisions are made. If your trip will start within four weeks of your Welcome Call, the proposal is returned within 24 hours. A non-refundable $300 rush fee applies in addition to the planning fee and is not credited toward your trip.

What destinations do you specialize in?

We focus on a curated selection of destinations where we have deep firsthand knowledge and established local partnerships. The places we work start as a city or region before expanding to a wider area. Every destination shares common threads — rich local life, cultural experiences often underappreciated by mass tourism, walkable city centers or accessible public transit, proximity to nature, incredible culinary traditions, and most importantly, relationships with welcoming local partners who are genuinely eager to share their home with you.
Currently our destinations include Italy, Portugal, Spain, France, Croatia, Slovenia, the Czech Republic, Peru, Colombia, Vermont, and the Mexican city of Oaxaca. Our approach is depth over breadth. Every destination we offer is one we know intimately, not one we've simply researched.

Can you accommodate dietary needs or accessibility requirements?

Absolutely. Before your trip, we gather detailed information from every traveler in your group: dietary restrictions, allergies, mobility considerations, and any special requests. This information is communicated directly to every partner, property, and guide on your itinerary so nothing is left to chance.

What happens if I need to cancel?

Cancellation policies vary depending on the suppliers and properties involved in your trip. To protect the integrity of your trip and offer the best available rates upfront, our trips are non-refundable. Your designer will walk you through the specific terms before you confirm with your deposit.
We strongly recommend travel insurance to protect against unexpected events that could impact your trip — from life events and flight delays to severe weather and beyond. Visit our travel insurance page for more information.

Can I travel by train or ferry instead of private transfers in Europe?

Where it makes sense for your trip, we absolutely incorporate trains, ferries, and regional shuttles — they're often the most scenic and efficient way to move, and a wonderful way to experience local life firsthand. We handle all the bookings for you. Your travel app will include clear guidance plus how-to's for impromptu use of local public transit like metros and buses. And of course, support is available in real time from our team who have made the same journeys themselves!

Will my invoice be in local currency or US dollars?

Your invoice will be presented in the local currency of your destination, with a US dollar equivalent provided at the time of payment using the current bank conversion rate. This ensures accuracy and transparency, as many of our local partners price in their home currency, while allowing you to make payments in your home currency. Your designer will walk you through payment details as part of the booking process.

Will my local guides speak fluent English?

Yes — always. Every guide we work with speaks fluent English. When driver-guides are utilized in your itinerary, they will speak at a high level of English. In situations where you're visiting a specialist who doesn't speak English — such as a local craftsperson or rural farmer — a translator and guide will be with you. Clear communication is non-negotiable for us, and it's something we vet personally before recommending anyone to our clients.

What should I know about local customs before I travel?

Every destination has its own rhythms, etiquette, and unspoken rules. Often travelers hope to learn a few things in advance to feel less like a tourist and more at ease with locals. We provide helpful resources in our destination-specific travel guides, things like dress codes at religious sites, tipping norms, greeting customs, dining etiquette, and local attitudes toward photography. We want you to arrive feeling confident and ready to engage from day one.

Once you're there, a deeper layer of learning and awareness opens up. For this, your local guides are your greatest resource. We encourage our travelers to ask questions freely. The guides we work with love sharing their culture, and those conversations often become an exchange they appreciate too! It's also important to remember that it's okay not to behave exactly like a local. Concentrate on being a respectful and courteous guest, with a few small efforts, you'll find that locals are welcoming and understanding.

How do you vet your local guides, drivers, and specialists?

In person, firsthand, and over time. We don't add a partner to our network based on reviews or reputation alone. Every guide, driver, and property we recommend is one our team has met, experienced, and built a real relationship with.
We deliberately work with small businesses and independent specialists — people with the capacity to know us personally, who focus on one or two things and do them exceptionally well. Many of our partners are living their passion every day, and welcoming a visitor into that world is a genuine opportunity for them to share it. Those encounters — with the ceramicist, the winemaker, the guide who has spent thirty years learning every trail — are often what travelers remember most long after the trip is over.

What happens when I'm traveling and I have questions or need to make changes?

A few days before you depart, we set up a group chat in WhatsApp. This is how the travel designer you know well, and the local team you'll be meeting throughout your travels, will stay connected with you, and you with them! The chat is a place for the local team to share tips and updates, and to answer any questions you have in real time.

 

Whether it's a logistical question, an unexpected change, or simply wanting a dinner recommendation, someone who knows your trip is available and responsive. Real people, ready to support you, for the duration of your travel.

How do you select the hotels and properties in my itinerary?

We love this question, because it's an area where we are dramatically different from most travel designers. When we recommend a property, it's because we know it intimately. At CTC we rely on our own firsthand experience rather than star ratings, recommendations from our network, or online reviews. Our team dedicates countless hours every year scouting properties for exactly this reason, visiting dozens if not hundreds of small and large properties to find the ones that are truly worth your time and money.
We understand the location, the room types, the views, and the nuances that will play an important role in your stay: the look, feel, and aesthetics of a property, the distance to key points of interest, the quality of the on-site restaurant, the diversity of the menu, the quality of amenities, the approach of the staff, and the impacts of noise — whether that's waves out front or a bustling square below your window. We take note of all these details so you can make an informed choice. These details matter, and they're the difference between a good stay and an exceptional one.


We strive to offer a diverse collection of properties to meet the needs and budgets of each unique traveler — but what you won't often see from us are international hotel chains. We believe the best experiences are found in small, passion-driven properties that treat guests like welcomed friends. We also know how important it is to support local business so the places you are visiting can continue to thrive by retaining a living, local community. It's our strong belief that the money you spend in a destination should stay there — so you can return in years or decades to find an intact community, not one lost to tourism.


Some of the most special properties in the world don't have flashy websites or big marketing budgets. Easy to overlook online, but unforgettable in person. Bringing these incredible places to our travelers is a joy we revel in, and our insights are critical in making your trip something that is truly one of a kind.

I like to plan my trip myself — why should I work with a travel designer?

We hear this often, and we respect it. If you love the research, the rabbit holes, the satisfaction of building something from scratch, we get it. Travel planning can be genuinely enjoyable. And honestly, we love working with travelers who come to us with ideas, inspiration, and a vision. Collaboration is at the heart of what we do.
What a travel designer brings is something search engines can't offer: firsthand knowledge of what a place actually feels like, relationships with people on the ground who open doors that aren't listed anywhere, and the ability to fill in the details that only reveal themselves in person.
Here's an example. We once counted the steps to a favorite restaurant in Positano, twice, because there are no cars or elevators and we wanted to give our travelers accurate expectations before they arrived. Google's answer didn't match reality. Ours did: 335 steps, uphill. That's not the kind of thing we want anyone to discover by surprise.
That level of detail extends to everything. Logistics, seasonality, local timing, and the small decisions that can make or break a day. We bring that knowledge to the table so you can make informed choices, supported by real experience rather than reviews and best-guess research.
We also save you something you can't get back: time. The hours that go into researching, comparing, vetting, and coordinating a trip abroad can easily run into the dozens. We've already done that work, for every destination we offer, repeatedly, over years.
And when something goes wrong, a cancellation, a weather event, an unexpected change, you're not navigating it alone with a customer service number. You have a person who knows your trip, ready to help.

Will I work with the same person throughout my entire trip planning process?

Yes, always. In our digital world, personalized service is increasingly rare — and it's something we take seriously. From your very first Welcome Call to the moment you depart, you will have a single point of contact: the same travel designer who listens to your vision, crafts your itinerary, coordinates every detail, and is there behind the scenes cheering you on when it's time to say bon voyage.


You'll never be transferred, handed off, or left explaining your trip to someone new. Your designer knows your preferences, your group, your budget, and your vision intimately — and that continuity is what allows us to deliver a truly seamless experience from start to finish.
